How does the email inbox (IMAP/SMTP) integrated with the CRM work?

«Inbox» is your work email inside proposal.travel: you connect your mailbox over IMAP (incoming) and SMTP (outgoing) and handle emails without leaving the CRM. The point isn't yet another inbox — it's that every email is linked to the contact's record: opening a client shows their email thread next to their proposals, opportunities, tasks and notes — and you can write to them right there. If your team uses Gmail or Outlook, they keep using them as usual; the inbox just reads and sends through that same mailbox to give you the context in the CRM.

  1. 1Go to «Inbox» and click «Connect mailbox». Connect it with an app password over IMAP/SMTP: Gmail (with 2-step verification), Hostinger, IONOS, cPanel, Zoho… (Outlook/Microsoft 365 with Microsoft sign-in is coming soon.)
  2. 2Servers are guessed from your domain; if you use your own server with a mismatched certificate, tick «don't verify TLS certificate».
  3. 3The inbox syncs on its own every few minutes (incoming and sent) and sorts threads: unread, mine, unassigned, needs reply, waiting on customer, sent, drafts, starred, archived…
  4. 4Every email matching a CRM email is linked to its contact automatically; if not, you can link it by hand from the thread.
  5. 5Reply, reply-all or forward; attach files; star, assign to a teammate, archive, snooze or create a task from the thread.
  6. 6To write to a client, open them in the CRM and use the email button on their record (or the «Compose» button in the inbox): the «To» field doubles as the contact search.

Consejo: While writing you get an AI assistant that drafts, fixes, summarizes, expands, shortens, changes the tone or translates the email; and if you leave the inbox mid-way, the draft saves itself. You can also schedule a send (with undo) and save email templates. Each agent can connect their own mailbox.
